Workspace calendar & meetings
Every workspace has its own calendar: your agenda there, a calendar per team, and a meeting scheduler that finds a time when everyone is free.
Your agenda and team calendars
Open Workspace Calendar under the workspace, then pick which calendar to show:
| Option | Description |
|---|---|
| My agenda | Every event you created in this workspace, plus the events you are on — meetings you accepted and events you are assigned to — and your tasks. A meeting you haven’t answered yet appears once you accept it. |
| A team | Every event of that team, including the meetings scheduled with it. Readable by any member of the workspace. |
Everything in your agenda also appears in your global Calendar, next to your other spaces.
Personal events
The event dialog creates personal events only — nobody else is added to them. Set their Show as status to tell the scheduler how they affect your availability:
| Option | Description |
|---|---|
| Available | Doesn’t block you. |
| Tentative | Maybe busy. |
| Busy | The default for workspace events. |
| Away | Out of office. |
To get other people on an event, schedule a meeting instead — they are invited and can accept or decline.
Scheduling a meeting
- 1
When?
Click Schedule meeting, pick the day, the duration and the time window to search in (8:00–18:00 by default, up to the whole day).
- 2
Who?
Pick teams — all their members are invited and the meeting is added to each team's calendar — and/or individual members.
- 3
Pick a slot
A grid shows everyone's availability side by side and suggests the best slot. You can pick any slot where you and at least one participant are available.
- 4
Details
Add a title, a description, a category and the meeting's Show as status, then send the invitations. With exactly one team, you pick among that team's categories; with none or several, among the workspace's own categories.
Privacy
The grid only reveals when people are taken and how (busy, tentative…) — never the titles or details of their events.
How availability is computed
Availability comes from each person's events in this workspace: the ones they created and the ones they are on. A meeting only takes a participant's time once they have accepted it — the organizer is always taken. Events shown as Available don't count.
Invitations
| Option | Description |
|---|---|
| Receiving one | Participants get a notification and an email, and accept or decline from the bell. |
| Answers | The meeting shows who is pending and who accepted. Someone who declines is removed from the meeting — and anyone but its organizer can leave it later with Leave, without deleting it for the others. |
Changing or canceling a meeting
A meeting can't be dragged or resized. Open it and click Edit meeting: the scheduler opens with everything filled in, and checks everyone's availability again. The organizer — or a manager of a linked team — can change it.
| Option | Description |
|---|---|
| Everyone kept | Notified of the change in the app and by email. If the time changed, their answer goes back to pending. |
| New participants | Receive an invitation. |
| Removed participants | Lose the meeting and get a cancellation email. |
| Deleting the meeting | Everyone on it gets a cancellation email. |
From the global Calendar, meetings can be viewed but are changed from the Workspace Calendar.
