Contacts & shared lists

Connect with the people you work with, then share personal lists with them — each with editor or reader access.

Contacts

Open Contacts in the sidebar and search for someone by the email of their Flowline account to send a connection request. They accept or decline it from their notifications or their Contacts page. You can remove a contact at any time.

The Free plan includes up to 10 contacts; Plus and Pro are unlimited. In your Personal space, only contacts can be invited to your lists.

Sharing a personal list

    Invite

    Open a list and click the people icon, or create one with New shared list in the sidebar. Pick contacts and choose their role.

    They accept

    Each person gets a notification and an email, and accepts or declines. Until then they show as Pending; once in, as Accepted. If they decline, they simply disappear from the list.

    Work together

    Lists shared with you appear in your sidebar. Changes from others show up live.

Plans

Sharing a list requires Plus (up to 3 shared lists with 3 members each) or Pro (unlimited). Anyone can be invited, whatever their own plan.

Roles in a list

CreatorShown first in the members panel. Has every right — manages members and roles, assigns tasks — and can’t be added or removed.
EditorViews, creates, edits and completes tasks and subtasks; comments (Plus/Pro) and reacts. Cannot manage members or permanently delete tasks.
ReaderViews everything and can mark tasks complete; reacts to comments but cannot post or edit.

The creator changes roles from the members panel — changes are applied with “Confirm changes” — and can remove anyone.

Any member other than the creator can leave a list with the Leave button in its header: they disappear from its members and no longer see it. The creator can't leave their list — they delete it instead.

Collaborating on tasks

Assignments

The list's creator can assign tasks and subtasks to members. Assignees are notified in the app and by email.

Comments

Tasks in shared lists have a comment thread: reply to a comment, @mention a member to notify them, edit or delete your own comments, like or dislike others'. Posting requires edit access and a Plus or Pro plan.

Sharing inside a workspace

In a workspace, you add workspace members to a list directly — no invitation to accept. They start as editors (readers for workspace viewers) and you can switch them between editor and reader.
