Collaboration

Teams

Group workspace members into teams, each with its own roles, lists and calendar — so everyone sees what their team is working on.

Plans

Teams are part of Plus and Pro. Two plans apply, and both win over any role allowed to create teams: the workspace owner's (3 teams in total across their workspaces on Plus) and your own — on Free you can't create teams, even in someone else's workspace, and on Plus you can create 3 in total.

Creating a team

Under the workspace in the sidebar, open Teams and create a team. Members who can manage teams (owner, admins, or a custom role allowed to) can do it.

OptionDescription
NameUnique within the workspace.
RolesThe team’s own roles and what each one allows.
MembersWorkspace members, each with one of the team’s roles.

You are always on your team

The team's creator is always a member, with a single role: Creator. It gives every right on the team, can't be changed, and the creator can't be removed — the team's own roles are for the other members.

Team roles

Each team defines its own roles. A role combines these permissions:

OptionDescription
Manage listsCreate lists in the team, and edit their tasks.
Manage calendarCreate calendar categories in the team.
Manage membersAdd and remove members, change their roles, create and delete roles.
Manage team settingsRename or delete the team.

A team role always wins inside its team — even for a workspace admin who was added with a restricted role. A workspace viewer stays read-only in every team.

What team members see

The Teams list in the sidebar only shows the teams you're on — as their creator or a member — and only those teams' pages can be opened, even with a direct link. The workspace owner and admins see every team. Anyone can still open any team's calendar from the Workspace Calendar.

Team lists

Lists created in a team are visible to its members: those whose role can manage lists edit them, the others read them. The list's creator and the team's creator always have full control.

Team calendar categories

Only visible to the team's members (and to the workspace owner and admins). They are grouped under the team's name in the calendar sidebar.

Team calendar

In the Workspace Calendar, choose a team to see its calendar — every event linked to the team, including meetings scheduled with it. Any workspace member can open a team calendar.

Leaving a team

Any member other than the creator can leave a team with the Leave button on its page. The team then disappears from their Teams list (unless they're the workspace owner or an admin).

Deleting a team

Deleting a team removes it with its members and roles. Its lists and calendar categories are kept — they are simply no longer tied to a team.
